Florence Privacy Policy
This Privacy Policy explains how Florence (“Florence,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes personal information when you use our website, apps, messaging experiences, integrations, and related services (collectively, the “Services”).
Florence is designed to help households manage calendars, schedules, and logistics. Because Florence may process personal information about adults, children, caregivers, and connected accounts, privacy and permissioning are core parts of the product.
1. Scope
This Privacy Policy applies to personal information we collect:
- directly from you;
- from other members of your household using Florence;
- from caregivers you invite or authorize;
- from connected third-party services such as email, calendar, and identity providers;
- automatically through your use of the Services; and
- from service providers and partners that help us operate Florence.
This Privacy Policy does not apply to third-party websites, apps, or services that Florence does not control, including Google, Microsoft, Apple, or your email and calendar providers. Those services have their own privacy policies and terms.
2. The core Florence privacy model
Florence is designed around the principle:
Private sources in. Shared household updates out.
In practice, this means:
- when you connect an email or calendar account, Florence may process that source to provide the Services to you and your household;
- connecting a source does not automatically give your spouse, co-parent, or caregiver access to your raw email or full calendar details;
- Florence generally shares structured household updates, calendar objects, reminders, and other derived outputs based on your settings, approvals, and household rules; and
- caregivers receive only the information needed for their role, unless you explicitly choose broader sharing.
3. Information we collect
A. Information you provide directly
We may collect:
- your name, email address, phone number, and account credentials or sign-in information;
- household setup information, such as partner/co-parent details, caregiver information, children's profiles, schools, organizations, activities, addresses, and routines;
- preferences, permissions, trust rules, and sharing settings;
- payment and billing details if you subscribe to a paid plan;
- communications you send to Florence, including support requests, feedback, and messages you send through Florence interfaces.
B. Information from connected accounts
If you connect third-party accounts, we may collect and process information from those accounts, such as:
- calendar events, calendars, participants, time, date, location, and related metadata;
- email content, message metadata, sender information, attachments, and related fields, to the extent authorized by you and required to provide the Services;
- contacts, profile information, or directory information if you enable those features; and
- authentication tokens and account-connection metadata.
C. Household and caregiver information
We may collect information about members of your household and caregivers that you or another authorized household member provide to Florence, including:
- names and contact details;
- roles and relationships;
- schedule information;
- school, activity, pickup, and logistics information; and
- instructions relevant to care coordination.
D. Children's information
We may collect information about children in your household when submitted by a parent, legal guardian, or other authorized adult, including:
- name or nickname;
- age or grade level;
- school, activity, and schedule information;
- pickup/dropoff details;
- health or other sensitive information only if you choose to provide it in connection with Florence features.
In Florence v1, children are intended to be parent-managed profiles, not independent user accounts.
E. Automatically collected information
We may automatically collect:
- device and browser information;
- app usage data;
- log data, diagnostics, and crash reports;
- IP address, approximate location, and timestamps;
- security and fraud-prevention signals; and
- cookie or similar technology data on our website or web-based experiences.
4. How we use personal information
We may use personal information to:
- provide, maintain, and improve the Services;
- create and manage household accounts, roles, and permissions;
- process connected email and calendar data to detect family-relevant events, updates, conflicts, reminders, and logistics;
- generate, rank, summarize, and present household proposals, schedule updates, and caregiver-safe views;
- power AI-assisted features, automations, reminders, and notifications;
- authenticate users and protect account security;
- process payments and administer subscriptions;
- communicate with you about the Services, including support, product updates, onboarding, and transactional notices;
- investigate misuse, abuse, fraud, security incidents, and violations of our Terms;
- comply with applicable law, legal process, or regulatory obligations; and
- create aggregated, de-identified, or otherwise non-personal analytics and reporting, subject to applicable law and platform restrictions.
5. AI and automated processing
Florence uses software, rules, models, and AI systems to help classify communications, extract schedule details, suggest updates, detect conflicts, and route information to the appropriate household surface.
These systems are not perfect. Florence may make mistakes, misclassify information, or require human review or user confirmation before taking action.
Where appropriate, Florence may:
- ask for approval before sharing or publishing information;
- provide explanations for why an item was flagged or shared; and
- allow household members to edit, reject, or undo certain actions.
6. How information is shared
We may disclose personal information in the following circumstances:
A. Within your household, based on your settings
We may share information with other members of your household according to your settings, household rules, and product workflows. For example:
- co-parents may see household proposals, shared calendar objects, reminders, and structured updates;
- caregivers may see operational, caregiver-safe schedule details relevant to assigned children; and
- raw source material, such as full inbox content or private calendar details, is generally not shared by default.
B. With service providers
We may share information with vendors and service providers that help us operate Florence, such as hosting, analytics, messaging, customer support, payment, identity, and security providers.
C. With connected providers and platforms
We may exchange information with providers you connect to Florence, such as Google, Microsoft, Apple, and calendar or messaging services, as needed to authenticate, sync, and provide features you request.
D. For legal, safety, and security reasons
We may disclose information if we believe doing so is reasonably necessary to:
- comply with applicable law, regulation, legal process, or enforceable governmental request;
- protect the rights, safety, security, and integrity of Florence, our users, children, caregivers, or the public;
- investigate or prevent fraud, abuse, or security issues; or
- enforce our Terms or other agreements.
E. Corporate transactions
We may disclose information as part of an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, subject to applicable law.
F. With your direction or consent
We may disclose information in other ways if you ask us to or expressly consent.
7. Google API and connected account commitments
If you connect Google accounts, Florence may process Google user data to provide user-facing features you request, such as household scheduling, event detection, reminders, and coordination features.
Florence does not use Google Workspace or Gmail restricted-scope data to develop, improve, or train generalized AI or machine learning models. Florence uses such data only to provide and improve user-facing features for the applicable user or household, subject to applicable Google API and Workspace policies.
8. Data retention
We retain personal information for as long as reasonably necessary to:
- provide the Services;
- maintain household history, audit logs, and schedule records;
- fulfill the purposes described in this Privacy Policy;
- comply with legal, tax, accounting, and regulatory obligations;
- resolve disputes and enforce agreements; and
- support security and fraud-prevention efforts.
9. Your choices and controls
Depending on the features you use, you may be able to:
- connect or disconnect third-party accounts;
- change household, caregiver, and sharing settings;
- revoke caregiver access;
- delete or edit household objects;
- change communication preferences;
- access, update, or delete certain profile information; and
- request deletion of your account or certain personal information.
10. California privacy notice
If you are a California resident, you may have rights under California law, subject to exceptions, including the right to:
- know the categories and specific pieces of personal information we collect, use, disclose, and share;
- access personal information;
- request deletion of personal information;
- request correction of inaccurate personal information;
- opt out of the sale or sharing of personal information, if applicable; and
- limit the use and disclosure of sensitive personal information, if applicable.
Florence does not sell personal information, and Florence does not share personal information for cross-context behavioral advertising.

11. Children's privacy
Florence is not intended for use by children as independent users. In Florence v1, children are expected to be represented through parent- or guardian-managed household profiles.
If you submit information about a child to Florence, you represent that you are the child's parent, legal guardian, or otherwise authorized to provide that information and authorize Florence to process it for household scheduling and coordination.
12. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no security measure is perfect, and we cannot guarantee absolute security.
13. International use
Florence may process and store information in the United States and other countries where we or our service providers operate. Those locations may have data protection laws that differ from the laws of your jurisdiction.
14. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice as required by law.
